Questions are frequently used in HR Management (HUB and WorkforceHub) to fill in data required in a document. They can also be used in Workflows and Onboarding. This article shows how to create questions.

Create Questions for WorkforceHub

One of the valuable HR tools of WorkforceHub is the Questions feature. If you want the employee to acknowledge a company policy, need to know if they have any food allergies, or just need their t-shirt size for a company event; that can all be done with Questions answered by the employee in WorkforceHub.

Questions are created by Admins and can be of the following type:

  • Text Entry (including multi-line text)
  • Single Select pick list
  • Yes/No
  • Date
  • Checkbox (for acknowledgement)

Questions can be inserted into Onboarding and Workflows so that an employee is prompted to answer them during either process.

Questions, once created, can be saved in your HR Workflow panel and re-used.

Creating Questions

Questions can be created in the process of creating a Workflow or when configuring Onboarding.

When creating a Workflow, you have the option to create new questions or access questions from your library.

However, you can also create them in advance and add them to a Workflow or Onboarding.

These instructions explain how to add a Question to your Question Library for use in Onboarding or a Workflow, but if you are creating a Question during your Onboarding or Workflow setup, then the instructions from step 4 onward will apply:

  1. Click the HR tab and select Workflows/Tasks.
  2. Click the "…" button in Workflow Campaigns and select Maintain Questions.
     
    Questions can be created from the HR tab in HUB. Choose "Maintain Questions" in the
    Workflow Campaigns module.
  3. Click the Add New Questions button.
     
    Maintain Questions lets you view Questions in your library or create a new Questions
  4. Type in your question and select the type of question to be asked.
     

    In the example above, a question about company party locale is being asked as a Single Select question; employees can choose one of the three options listed.
     

With the Question saved, you can now use it Workflows or in the Onboarding process.

Using Questions with Custom Merge Tags in Documents

While this article explains how to make "stand-alone" questions for use in Workflows or Onboarding, it's also important to know that Questions can be used to fill in custom merge tags within a document. 

What's the Difference Between "Custom Fields" and "Questions"?

If you think, after reading these instructions, that Questions seem similar to Custom Fields, you're somewhat right, they are configured and setup very similarly, but there are some differences.

Custom Fields are specifically designed to add data the employee profile. Questions do not appear in the employee profile and are often used for steps in a Workflow or to document items in Onboarding.

Also, Custom Fields can be used with Reports and Alerts; Questions cannot.
