Merge tags are a great tool when adding documents to HUB and WorkforceHub. They eliminate a lot of repetitive data entry when an employee fills out their Onboarding paperwork. This article includes a list of merge tags and explains how they are used.

Merge Tags

Merge tags automatically populate company and employee information into your custom documents. For example, when the tag *|EMPLOYEEFULLNAME|* is used, the employee's name is automatically inserted into the document. Merge tags are useful when onboarding new employees and creating Workflows because they decrease the amount of repetitive data entry done by the employee.

In this article, you are going to learn about using merge tags, and how custom merge tags enable you to easily collect information from an employee and add that to a custom document.

Add Merge Tags

WorkforceHub allow you to upload custom company documents, like an employee handbook, for use in Onboarding and Workflows. These could be either Word or PDF documents and use any of the merge tags listed in this attached list:

The process is quite simple, just add the tag into your document where you want the data populated, then upload the document to your Onboarding or Document Library.

Whenever a document containing merge tags is uploaded, the tags are listed on the document review page.

You can also click Preview this document to see an example of the completed document with filled in merge tags.

There are numerous applications for merge tags, including the use of *|YesNo|* and *|Acknowledgement|* tags. These collect input from the employee and add it to the document. More information on these types of merge tags is found in the article Check and Check Box Merge Tags.

Custom Merge Tags

In addition to using merge tags to pre-populate company and employee information, you can add custom merge tags to collect information with a question. These tags are detected when uploading a document, and then you can add a question that's presented to the employee during the review process.

In the following example, an employee is asked to enter both their driver's license number and expiration date with the use of custom merge tags. The custom document contains the tags *|DRIVERNUMBER|* to collect the driver's license number and *|DRIVEREXPIRATION|* to collect the expiration date.

Any label contained between *| and |* that isn't already a merge tag is recognized as a custom merge tag.

After you upload the document, custom merge tags will be listed with an Add Question link. Click that link to add the question associated with the tag.

When reviewing the document, the employee is asked the question and see a preview of the actual document.
